Time Tracking Assistance
Time Tracking Assistance in Unit4 Advanced Virtual Agent (Ava) is the virtual capability for time reporting in Unit4 ERPx.
It drafts time entries from user activity and allows employees to confirm them, instead of building entries from a blank grid.
Time Tracking Assistance runs in Microsoft Teams, including mobile, and integrates with Microsoft 365.
The following capabilities are available with Time Tracking Assistance:
- Propose draft time entries automatically from activity and presence.
- Allow users to add or submit entries conversationally in plain language.
- Answer questions about logged time and balance.
- Proactively flag days where time is missing.
- Combine proposal data with U4TTS expected hours and absence data.
- Submit approved or edited entries to U4TTS.
Note: Automatic time tracking is available when a Microsoft 365 account is connected. Ava can propose entries automatically at the end of each working day. This behavior runs in the background.
Why it matters
Time Tracking Assistance helps organizations:
- Reduce time spent on manual time-entry creation.
- Improve time-data accuracy.
- Speed up time-entry submission.
- Improve invoicing precision.
Compliance context
Time Tracking Assistance supports time-logging workflows used for compliance with working-time regulations, including the EU Working Time Directive (2003/88/EC).
Note: Time Tracking Assistance supports the time-logging workflow, but it is not a legal compliance engine. Employee review and approval remain the authoritative record.
System setup
In order to complete the functional setup for Time Tracking Assistance, someone with administrator permissions in the ERPx environment needs to perform the following steps.

How to test and demo Time Tracking Assistance
The following scenarios run in the Unit4 Ava app with a Microsoft 365 account connected for time tracking.
Submitted entries through Ava are expected to appear in ERPx Time tracking.
Before you start
- Use Unit4 Ava and open the matching ERPx tenant to show results.
- Use the company that is connected to the PSO environment.
- Sign in to Ava account.
- Connect a Microsoft 365 account with presence and monitoring enabled.
- Ensure recent activity exists so entries and balances are populated.
Scenario 1: Add an entry conversationally
Type this request in Ava:
- I want to submit a time entry for me for Monday the 27th of July 2026, where I worked from 8 until 18 and had a 45min break.
Expected Ava response:
- Done - I've submitted your time entry for 2026-07-27, 08:00 to 18:00 with a 45-minute break.
Expected ERPx Time tracking output:
- Entry date: 2026-07-27.
- Start and end: 08:00 to 18:00.
- Break: 0.75 hours.
- Logged time: 9.25 hours against 7.50 expected.
Scenario 2: Check a specific day
Type this request in Ava:
- Have I registered time tracking entry for 07.07.2026?
Expected Ava response:
- Ava reports whether time is logged for that day.
- Ava shows the balance (for example, -8 hours).
- Ava offers to add the entry when time is missing.
Talking point for the demo:
- Ava can send a proactive nudge when it detects a day with no logged time.
- This nudge runs on Ava's schedule and cannot be triggered reliably on command during a live demo.
- If available, show a screenshot of a previous proactive nudge.
End-user flow (high level)
The current source references indicate the following high-level flow:
- The user starts a chat with Ava in Microsoft Teams.
- Ava sends a proposed time entry report.
- The user reviews the proposal.
- The user approves the proposal as is, or edits and saves it.
Scope and constraints
- This functionality is currently scoped to Unit4 ERPx.
- This functionality is available for all users in scope.
